UK and US entities
Bookings made each month this season by the entity the person paid (FileMaker brand: RLGH = UK, RIUS = US). Both are ordinary bookings and count towards the season targets; FileMaker records them under a different brand because the person paid the US entity. Expedition and Legacy deposits, less cancellations.

Leads needed are worked back from each month's booking target using the conversion rates below. Traffic comes from Google Analytics; MQLs and SQLs are added each month.

Who is travelling: people still booked on an expedition, by year of travel, from FileMaker. Totals only; no individual records are held in the dashboard. 2023 travellers aren't in FileMaker: their ages come from records kept separately, and nothing else is held for that year.

Groups that choose differently
Most groups pick destinations in about the same proportions as everyone else. These are the exceptions: groups where the share going to a destination is at least 8% higher or lower than for everyone. Small groups are left out (under 30 people for All time, under 15 for one year) because a few people can swing them.
How bookings change from cycle to cycle and year to year, from FileMaker. FileMaker holds full booking records from 2025 travel onwards; 2024 travellers are mostly missing deposit dates.
Bookings lost before travel, by cycle
Of everyone who booked a cycle, the share who cancelled, deferred to a later cycle or didn't travel. Cycles still to run will lose more as they get closer. Starts at Cycle 2 2025: older cancellations aren't all kept in FileMaker.
Cancelled and Not travelling are two different FileMaker statuses. Cancelled (with NTU) bookings almost all still carry their deposit date; Not travelling ones never do, which suggests they are handled differently (for example a late withdrawal or a transfer). The exact difference is being confirmed with Ella. Deferred means moved to a later cycle.

Two planning jobs. Sales: turn a revenue target into monthly booking targets, split by year of travel. Ops: split a year's pax target into cycles, countries and 8- or 4-week expeditions.

A: the Venturer dashboard's projected finish, which is bookings to the end of August plus each later month's target at an assumed hit rate typed into ARRIVAL YEAR (C1 100%, C2 90%, C3 75–90%). B: each cycle's bookings so far divided by the share it should have by now on its target curve. B is jumpy early in a cycle, when few bookings are in.
Not on the dashboard yet
Bookings by salesperson, website traffic by channel and May's lead sources are now on Sales & funnel and Marketing & leads. Still missing: revenue by salesperson (needs the revenue column in the FileMaker export), leads since June (needs a GoHighLevel table export), cost per lead and agent performance. Operations, people, highlights, risks and decisions stay as written commentary.
Sales
Every week, before the Tuesday sales meeting.
- Summary: are we on track? Revenue to the end of last month against target, and the 2027 cycles against where they should be by now. A red cycle is the week's priority.
- Summary: what's left to book. The 2027 bookings still to come and the 2028 target for this season are the team's targets.
- Sales & funnel. Running total: catching up or falling behind? By salesperson: deposits this month, and bookings with no salesperson recorded (agency or partner) to tidy up.
- Phasing, by cycle. Before each early-bird deadline (C2 22 Nov, C3 31 Jan, C1 2028 28 May) check that cycle's curve and plan the push.
- Ops. Which country and length is red for the cycle you're selling: that's what to lead with in conversations.
Marketing
Every month, when the Google Analytics and lead figures are in.
- Marketing & leads: leads needed against leads. At about 20% SQL-to-booking, each booking short is about 5 SQLs. Too few leads is marketing's lever; plenty of leads but few bookings is a sales conversation.
- Which channels convert. Compare each channel's share of visits with its share of key events, and move spend towards channels that bring enquiries, not just visits.
- Phasing and Trends: when to spend. Most people book 3–6 months before their cycle starts, so campaigns for a cycle need to run in that window, ahead of its early-bird deadline.
- Ops: what to promote. Put campaigns behind the cycles, countries and lengths that are amber or red.
- Demographics: who to talk to. Age, nationality and who goes where, to target audiences and markets (UK first, Netherlands second).
Leadership
Every month, before the board report.
- Summary headline: revenue against target to date, 2027 cycles against expected, and total bookings the season needs at current prices.
- Phasing, season view: is the season tracking its curve? If behind over winter, check whether the profile is front-loaded before treating it as a sales problem.
- Ops: projected finish and groups per country, to spot groups that may need merging or cancelling early enough to act.
- Trends: about a quarter of bookings are lost before travel, so targets need that headroom.
- Planner: what next season needs, and whether the 2028 targets and ops capacity support it.
- Board snapshot: the commercial, product and forecast figures for the report, with suggested RAG ratings.
Where the numbers come from
Season revenue, bookings and targets are from the Venturer & VM numbers workbook: SUMMARY 26_27 (updated 2 November) and the Venturer dashboard tabs (3 November), which hold the correct cycle targets. Target curves come from ARRIVAL YEAR. Planning assumptions are from Drivers & notes; prices are the new 8- and 4-week prices.
Bookings by deposit month for each cycle, salesperson, demographics and trends come from the FileMaker bookings export (all-time pax, deposits to 30 October 2026). The export is reduced to totals before it reaches the dashboard: names, contact details, dates of birth, passport, medical, insurance and emergency-contact fields are never uploaded. Salesperson IDs 179 and 239 are Alison Hartley and Kieran Ahern, matched through booking refs in the May leads export. Website traffic is Google Analytics (October 2026). May 2026 leads are from FileMaker, the last month before GoHighLevel.
Every target, split, price and rate the dashboard uses is listed in the assumptions note.
Keeping it up to date
- Weekly: run the saved FileMaker all-time pax export (same columns each time, plus BookingRef_MI_Sales_Revenue_Actual and currency once added) and send it to Claude, who turns it into totals and updates phasing, salesperson, demographics and trends.
- Monthly: download the Google Analytics traffic acquisition report (session primary channel group) for the month and send it to Claude.
- Monthly: when finance's revenue report is out, add the month's revenue to the season figures.
- Monthly: marketing sends the month’s MQLs and SQLs (from GoHighLevel once the export is set up).
- Once a season: agree targets in the Planner and save them as the season and cycle targets.
Definitions
Sales season: deposits paid from August to July, for any travel year. Booked (ops): people currently on a cycle after withdrawals and deferrals. Target curve: the share of a cycle's target that should be booked by each month. Average price: revenue divided by bookings. Still booked (FileMaker): status Confirmed, Reserved or Pending. Lost: Cancelled, NTU, Deferred or Not Traveling. Extension: a product of 3 weeks or less added to an existing booking; not counted as a pax.
